To give you a ballpark idea, here are some sample quotes for requests we’ve gotten from our customers:

Example #1:

A large technology company based in Arlington, Virginia wanted to host an offsite meeting and team building event for 75 employees. They contacted our corporate event planners to arrange transportation. We provided a quote for a 56-passenger luxury coach to pick up the group from their office, bring them to an indoor skydiving facility for a morning activity, followed by lunch at a local restaurant. The total rental time was 8 hours, from 8 AM to 4 PM on a weekday. Our quoted rate for the 56-passenger coach was $275 per hour, totaling $2,200. This covered the vehicle rental and applicable taxes and fees. For a group of 75 employees, this worked out to just $29 per person. We also included bottled water and light snacks on board the coach to make the commute more enjoyable. The client was very happy with the quote and customer service, so they booked us for their event transportation needs.

Example #2:

A local youth football team in Arlington is heading to the state championship game 4 hours away. The coaches want to provide premium transportation for the team so they decide to rent a charter bus. They select a 56-passenger coach bus with leather seats, WiFi, power outlets, and a bathroom. The rental company quotes them $250 per hour with a minimum of 8 hours for a total of $2,000. This covers pickup in Arlington, roundtrip transportation, and dropping the team off after the game ends. With 25 players, 5 coaches, and 20 parents attending, the cost per person is very reasonable. The team has an exciting, comfortable ride and ultimately wins the state title! Example #3:

A group of 10 friends from the Dallas area decide to take a day trip to Six Flags Over Texas in Arlington for some thrills. They rent a 14-passenger luxury van for the day that includes features like leather seats, USB chargers, and a high-end sound system. The base rate for the luxury van rental is $300 per hour, with a minimum of 5 hours required. They are picked up at 8 AM in Dallas and dropped off back home at 8 PM, for a total of 12 hours. At $300 per hour, their base van rental fee comes out to $3,600. On top of that, they add a 10% tip of $360 for excellent service from their professional team. The total cost of their Arlington luxury van rental for the day trip works out to $3,960, which split 10 ways is $396 per person.

Example #4:

Samantha and John are getting married in Arlington next month. They have booked the beautiful Hotel Zaza for their ceremony and reception, which can accommodate their 125 guests. To transport their wedding party of 16 people for photos around town before the ceremony, they have rented a 20 passenger limo bus for 4 hours at $350 per hour, totaling $1,400. For their guests, they have arranged shuttle service in two 25 passenger buses between the hotel and Dallas/Fort Worth airport at $325 per hour. The buses will do continuous loops starting 3 hours before the ceremony and ending 3 hours after the reception, estimating around 8 hours total for each bus. That comes out to $2,600 per bus, or $5,200 total. Between the limo bus and the guest shuttles, their total transportation budget for the wedding is $6,600. Example #5:

A teacher at Arlington High School is planning a field trip for her AP U.S. History class to tour college campuses in the area. She chooses 30 of her brightest students to visit the University of Texas at Arlington, Texas Christian University, and Southern Methodist University over the course of a Saturday. In order to make travel between campuses more convenient, she decides to rent a 25-passenger minibus for the day, which costs $250 per hour. She rents the minibus for 8 hours total from 9am to 5pm, which comes out to $2,000. She budgets in a 10% tip, adding $200. The total cost of the minibus rental is $2,200, which comes out to just $73 per student for transportation to tour all three campuses.
